Two federal rules your phone system has to meet
Your phone deployment needs a deliberate 911 configuration, including how location records stay current.
Kari’s Law requires that anyone can dial 911 directly — no 9 first, no prefix — and that someone on site is notified when a 911 call is placed, so a receptionist can meet the ambulance at the right door.
The RAY BAUM’S Act requires a dispatchable location to travel with the call: enough detail for responders to find the caller inside the building, not just the address on the account. For a multi-floor office or a business with several suites, the street address alone is not enough.
We configure both on every deployment, per extension, and revisit the records when people move desks or a site is added. We review the requirements that apply to your deployment rather than assuming an older configuration is sufficient. When calls carry protected information
If you are in healthcare, financial services, or you take card payments, your phone system is inside the same rules as the rest of the environment.
Voicemail transcription, call recording, SMS and e-fax all create records — and in a regulated business those records fall under the same rules as everything else.
For healthcare that means a signed BAA with whoever holds the voicemail and recordings, encryption in transit, per-person access controls and a deliberate retention policy. NSN Management offers a 12-month term for the phone system and calling service. We review your current agreement, including renewal dates and early-termination charges, when planning a move. Terms from other providers vary.
What is the best office phone system for our business?

Is a hosted phone system the same as VoIP?
VoIP describes calls carried over an internet protocol network. A hosted or cloud phone system describes where the phone-system software runs. VoIP can also run on equipment at your premises. NSN deploys 3CX cloud-hosted, with desk phones and apps connecting to the hosted system.
Can we keep our existing phone numbers?
We review your numbers, carrier records, account ownership, and porting eligibility before planning the move. NSN handles the authorization paperwork, carrier coordination, and scheduling for the agreed numbers. Keep the existing service active until porting is confirmed and calls have been tested.
Will we lose service when we switch providers?
A migration needs a planned cutover. We build and test the new system, coordinate the number transfer, and agree call routing and fallback arrangements where available. Carrier timing, access, and the condition of the current service affect the plan. We do not promise a zero-downtime transfer.
Can remote staff use the business number on their mobile phones?
Yes. The 3CX app lets staff place and receive business calls using their extension and the configured business caller ID. We set up the agreed desk phones and apps, routing, and voicemail, and train your team on how to use them.
What happens if our office internet connection fails?
A cloud-hosted system can remain available when an office loses its connection. Depending on the configuration and available connectivity, calls can reach mobile apps over cellular, another location, or voicemail. We review and test the agreed fallback options; hosting alone does not make calling immune to outages.
Will a new phone system fix choppy audio or dropped calls?
The cause needs checking first. Internet quality, firewall settings, switching, wireless connections, devices, and the phone service can all affect calls. NSN scopes network remediation for its 3CX deployments so a move addresses the underlying problem. New low-voltage cabling is arranged with an electrician rather than installed by NSN.
Can you connect our fax, paging, or door equipment?
We assess the installed equipment and supported connections before quoting. Fax may move to cloud fax or remain on an analog line. Paging, intercoms, door stations, and bells are assessed case by case; compatibility is not assumed.
How do you handle 911 calling and call recordings?
We configure direct 911 dialing, notification, and dispatchable-location information for the deployment, and agree how location changes are maintained. Recording, access, storage, and retention are configured around your business requirements. Regulated businesses should confirm their legal and contractual requirements before enabling features that store call data.
